To create an account on WeMind, follow these steps:
Sign Up: Visit the WeMind registration page and sign up by entering your first and last name, email address, phone number, and creating a password and unique PIN code. Alternatively, you can register using your UAE Pass.
Identity Verification: Upload clear images of the front and back of your Emirates ID, as well as the front of your passport.
Once you’ve completed these steps, you’ll be ready to set up your company profile.
Setting up your company in WeMind is straightforward, just follow these steps:
1. After completing your account registration, go to “Add Company” and choose one of our subscription plans based on your business needs:
WeMind Spark: Optimized for businesses that don’t require VAT calculations but need full access to all other financial management features of our app.
WeMind Horizon: Designed for businesses seeking complete financial management, including tax automation, CT & VAT calculation, and submission.
Both plans can be billed monthly or annually, depending on your preference.
2. Once you’ve selected a plan and completed the payment, you’ll enter key company details such as your company licence information, contact details, business address, and tax registration numbers. You’ll also need to upload supporting documents like your company licence, proof of address, and tax certificates.
3. Our team will review your submission, and if everything is complete, you’ll receive a confirmation email. If any documents are missing, we’ll notify you to resubmit them. After approval, WeMind will guide you through declaring us as your official tax agency on the Federal Tax Authority (FTA) website, ensuring your business is fully set up and compliant.
Once these steps are complete, your business profile will be fully set up, allowing you to seamlessly manage accounting, invoicing, and tax compliance.

Account Management
Yes, WeMind supports cross-device syncing, allowing you to access your account on both mobile and desktop devices, so you can manage your finances wherever you are.
To update your company details in WeMind, such as your company name, contact information, and address, follow these steps:
Access Company Profile:
• Log in to your WeMind account.
• Navigate to the “Company Profile” section.
Edit Information:
• Click the “Edit” button next to the information you wish to update.
• Make the necessary changes to your company name, contact details, or address.
Save Changes:
After making the updates, click “Save” to apply the changes.
Please note that certain details, such as your VAT number and Corporate Tax registration number, cannot be edited directly. If these need updating, please contact WeMind support for assistance.
Additionally, when your business licence or other important documents expire, WeMind will notify you to upload the updated documents to keep your profile current. By following these steps, you can ensure that your company’s information remains accurate and up-to-date within the WeMind platform.
Yes, WeMind allows you to manage multiple businesses under one account. Each new company you add will require a separate subscription plan, which you can select during setup. You can easily switch between businesses from your dashboard, ensuring seamless financial management across all your entities.
You can have up to 3 team members per company on WeMind. To invite a team member, go to the “Users & Permissions” section, click “Invite User,” enter their email address, and assign them a role. They will receive an invitation to join and access your company profile based on the role you’ve assigned.
As the company owner, you can assign different roles to your team members, such as Manager or Employee, each with customizable permissions based on their responsibilities.
Owner role has full access to all features in the app. As the owner of the business, you can manage everything from invoicing and expenses to tax reporting and user permissions. You have unrestricted access to all data, allowing you to oversee all financial aspects of your business.
Manager role has most of the permissions of the Owner, but cannot approve or submit CT & VAT filings or manage bank accounts and transactions. This role is ideal for team members handling day-to-day accounting tasks.
Employee role is for team members who need to view and track financial data but do not need to add or approve transactions. This role is designed for those who need access to invoices, bills, and reports but do not require editing or approval permissions.
Invoicing
Creating and sending invoices in WeMind is straightforward. You can either manually create an invoice by entering client details, invoice items, and payment terms, or you can upload an existing invoice, where advanced Optical Character Recognition (OCR) technology will automatically extract key information. This ensures accurate and fast data extraction, saving you time and minimizing errors. Once your invoice is ready, you can easily send it directly to your customer via WeMind, or download it as a PDF if you prefer to send it manually.
Yes, you can easily upload existing invoices into WeMind. Using advanced Optical Character Recognition (OCR) technology, WeMind automatically extracts the key information from your uploaded invoices. If any details need adjustments, you can easily edit them before saving the invoice. This feature ensures accuracy and saves time while giving you the flexibility to review and update any missing or incorrect data.
Yes, you can efficiently track payments and manage overdue invoices through the following features:
Automatic Payment Monitoring: Once an invoice is sent, WeMind automatically monitors its payment status. If a payment becomes overdue, you’ll receive a notification, enabling timely follow-up with your client.
Invoice Status Tracking: Easily filter and view your invoices along with their payment statuses for any selected period. This feature allows you to manage your finances more effectively.
Payment Recording: When a payment is received, update WeMind by entering the payment details. This action updates the invoice status to “Paid” or “Partially Paid,” along with the remaining balance due.

In WeMind, you can set a due date for each invoice to specify when payment is expected. This ensures that both you and your clients are clear on the payment timeline, making it easier to track and manage your invoices.
Yes, WeMind supports multiple currencies for invoicing. When creating an invoice, you can select the bank account you wish the payment to be processed through. The invoice will then be generated in the currency associated with that bank account. This feature allows businesses to efficiently manage transactions in different currencies, especially when dealing with multiple bank accounts.
Bills and Expenses
To upload bills and receipts in WeMind, simply choose to import a document from your device. The built-in Optical Character Recognition (OCR) technology will automatically extract key information such as vendor name, purchase information, and relevant categories. After the import, you can review and adjust any missing or incorrect information before saving it. Alternatively, you can manually create a bill or expense by entering the required details. After filling in the necessary information, save it, and you’re good to go. This process helps you stay organized and ensures your financial records are accurate, compliant, and easy to manage.
Yes, WeMind allows you to assign your bills and expenses to different categories within your Chart of Accounts, such as utilities, office supplies, marketing, and more. By assigning each expense to the correct category, you’ll stay organised for tax filings and financial reporting. This feature streamlines financial management, allowing you to track spending easily and generate detailed reports for specific areas of your business.
WeMind helps you stay on top of your payments by automatically tracking the status of your bills. You’ll receive timely notifications ahead of your payment deadlines, so you never miss a payment. If a bill becomes overdue, WeMind will continue to notify you until you take action, ensuring that you can address any missed payments promptly. You can filter and view your bills by specific dates or time periods, giving you full control over your financial obligations. Once you make a payment, simply update the “Record Payment” section, and the bill will be marked as “Paid” or “Partially Paid,” with any remaining balance clearly displayed.
Financial Insight
Yes, WeMind enables you to effortlessly generate essential financial reports, including Cash Flow, Balance Sheets, and Profit & Loss statements, giving you a clear picture of your business’s financial performance.
You can view your Profit and Loss statement in WeMind by going to the Reports section and selecting the ‘Profit and Loss’ option. From there, choose the desired date range – today, this week, this month, this quarter, or this year – and select either an accrual or cash basis. WeMind will automatically generate the report based on your income and expenses. You can view it in the app, or export it as a PDF if needed.
In WeMind, you can generate a Balance Sheet by going to the “Reports” section and selecting “Balance Sheet.” You can customize the report by choosing the date range such as today, this week, this month, this quarter, or this year, and selecting either an accrual or cash basis. WeMind will automatically generate the report based on your financial data, allowing you to view it directly in the app. You also have the option to export the report as a PDF for your records.

Billing and Subscription
WeMind offers two subscription plans:
Spark: Ideal for businesses that don’t require VAT calculations but need access to invoicing, bill and expense management, CT tracking and submission, bank account connections, financial insights, AI bookkeeping, and team management.
Horizon: For businesses needing full financial management. It offers everything Spark includes plus VAT tracking and submission.
Both plans include future upgrades free within your plan.

To update your payment method, navigate to the Company profile from the sidebar of the web application or the menu option of your WeMind mobile app. After you are presented with the Company profile page, select the “Manage” option in the Subscription details section. Here, you can also see all other details related to your subscription, like Renewal date, Renewal amount or subscription type. By selecting “Manage” you will be presented with a screen that enables you to add multiple payment methods, remove them, or update some of them. Once finished, select “Return to TX FINTECH“.
Canceling a subscription with WeMind requires us to remove all your data from the platform and stop the accounting contract. This is represented by the Delete option on the Company profile screen, and we suggest contacting support before proceeding with this step to enable easy and secure transition to another accountant.
Deleting your company will immediately end your accounting contract with WeMind Accounting Agency. This action will:
• Permanently delete your company account and stop your active subscription, but only for companies where you are the sole owner.
• Initiate the transfer of your company data in compliance with UAE regulations.
If a company has multiple owners, it will not be deleted. Please contact your assigned accountant for guidance on deleting companies with multiple owners.
Your assigned accountant will arrange the secure transfer of all necessary company information and documents.
All company data will be permanently deleted once the transfer is confirmed, as required by UAE law.
Please note that this action cannot be undone. To proceed, visit the Company profile screen and select Delete Company.
Deleting your profile will permanently remove your account and all associated data. This action will:
• Delete all companies where you are the sole owner, along with their financial records.
• Cancel all active subscriptions linked to those companies.
• Initiate the transfer of company data in compliance with UAE regulations.
If a company has multiple owners, it will not be deleted. Please contact your assigned accountant for guidance on deleting companies with multiple owners.
For each company you own, your assigned accountant will contact you to arrange the secure transfer of company information and documents. All data will be permanently deleted once the transfer is confirmed, as required by UAE law.
Please note that this action cannot be undone. To proceed, visit the User Profile screen and select Delete Profile.
Currently, WeMind supports upgrading the subscription plan from a Non VAT (Spark) company to a VAT company (Horizon) subscription. This process requires updating company data and providing additional information that your company now has, like VAT reg number and VAT certificate documents.
